The list you forgot you had

Three kinds of revenue sit dormant in every booking system.

A practice that has been open a few years holds hundreds, often thousands, of people who already know and trust it. Nobody has the time to pick those conversations back up. That is the job we take off your hands.

Lapsed patients

People overdue a check-up, review or maintenance visit. They meant to come back. One friendly nudge is usually all it takes.

Unfinished treatment plans

Care that was agreed, started and never completed. The plan is already in your system; the conversation just stopped.

Enquiries that never booked

They asked about a treatment, a price or a consultation, and the day got busy. You paid to win that interest once already.

How it works

You export one list. We do the rest.

A campaign takes two to three weeks start to finish, and about half an hour of your time in total.

  1. Free list appraisal

A short call. You tell us what is in your system: how many, how old, where from. We tell you honestly whether a campaign makes sense, and which messages fit.

  2. Clean and screen

Duplicates, dead numbers and anyone who should not be contacted come out. Every list is checked against UK messaging rules before anything sends.

  3. A friendly text, in your name

Short and personal, like your receptionist would send. You approve every word first. Messages drip out in small daily batches, never a blast.

  4. Every reply answered in seconds

Questions answered in your voice, real times offered, bookings made straight into your diary. Anything clinical or sensitive is flagged to your team, and the AI never gives medical advice.

  5. Results in your diary

The report is plain: sent, replied, booked, opted out, and what we would do next. Liked the result? A monthly campaign calendar keeps the diary topped up.

Why the replies matter

The send isn’t the hard part. Answering 150 replies in seconds is.

Anyone can text a list. The bookings come from what happens next: someone replies “yes, Thursday?” at 9pm, and that interest has a shelf life measured in minutes. Pikul Front Desk answers instantly, evenings and weekends included, qualifies the reply and books it. It is work no reception team can staff for two weeks straight.

391%higher conversion when a web lead was called within the first minute, versus waiting. Speed is the whole point of putting AI on the replies.Source: Velocify, analysis of almost 3.5 million leads
Done properly or not at all

Built to be a campaign your patients don’t mind getting.

Most “database reactivation” pitches fall apart at the first compliance question. Ours starts there.

  • Your own patients and enquirers only, never bought lists. Every list’s provenance is checked and documented before anything sends.
  • Recall messages stay recall messages: neutral, care-toned, no promotions dressed up as reminders.
  • You sign off the exact messages in writing before the first wave.
  • An opt-out in the first message, honoured instantly and permanently.
  • One message, at most one gentle follow-up, then we leave people alone.
  • The AI is administrative only: no medical advice, ever, and anything sensitive is flagged to your team.
  • ICO-registered, a data processing agreement as standard, and campaign data kept only as long as needed.
Scope

Sized by your list, quoted in writing.

There is no price list. Every campaign is scoped on a call with Rafal and quoted in writing before work starts. List size sets the scope.

Sprint

Up to 300 contacts

A small, focused list.

Sprint

Up to 1,000 contacts

Where most practices start.

Sprint

Up to 2,500 contacts

A larger or multi-site list.

Included in every campaign: list cleaning and compliance screening, your approved message set, up to two touches drip-fed, every reply answered by AI trained on your practice, bookings into your diary, opt-out handling and a plain results report.

Worth anchoring to your own numbers: what is one returning patient worth to you? The report shows what landed. Results are possible, not guaranteed.

Questions

The things every practice asks first.

Is this compliant with UK messaging rules?
Yes. Messaging your own patients about appointments they’re due is service messaging, and the regulator’s own guidance uses appointment reminders as its example. Lists of old enquiries are checked against PECR’s soft opt-in rule before anything sends. No bought lists, an opt-out in the first message, instant removals, and you approve every word before it goes.
What lists work best?
Your own booking system export: lapsed patients, overdue check-ups and reviews, unfinished treatment plans, and enquiries from roughly the last 18 months that never booked. Age and quality matter more than size, which is exactly what the free appraisal checks. If your list isn’t worth running, we’ll say so and you’ve lost ten minutes.
What will people actually receive?
A short, friendly text in your practice’s name, the way a good receptionist would write it: “you’re due a check-up, would you like me to find you a time this week?” One message, at most one gentle follow-up, sent in small daily batches on weekdays. Reply STOP works instantly, and the report shows the opt-out rate alongside the bookings.
Do we need new software or training?
No. You export a list, fill in a 15-minute questionnaire and sign off the messages. Bookings arrive in the diary you already use, via your online booking link, a connected calendar, or a daily confirmed-details list for your reception team. Your total hands-on time is about half an hour.
Who is answering the replies, a person or a bot?
Pikul Front Desk answers, trained on your services, prices, hours and booking rules. That’s how every reply gets an answer in seconds, at 9pm on a Sunday included. It says it’s your practice’s assistant if anyone asks, a person keeps an eye on every campaign, and anything clinical, sensitive or urgent is flagged to your team. It never gives medical advice.
How fast can we start, and how long does it take?
Once your list arrives and the messages are signed off, sending usually starts within days. A campaign typically runs a few weeks start to finish, including the reply tail and your report. We keep the number of campaigns we run at once small, so each one gets proper attention.
