Hi, do you take new patients? I've got a cracked molar, it's not agony but it's sharp when I bite.
We do take new patients, and a cracked tooth is worth seeing promptly. I can offer tomorrow 9:40 or 13:20 with the dentist - which suits? If the pain gets severe or you notice swelling tonight, please call 111 for urgent advice.
9:40 please
Booked. Pop me your email and I'll send the confirmation, directions and the new patient form to save you time at reception. ✅
Where practices leak patients

The gap between enquiry and booking is where new patients disappear.

Most practices answer brilliantly - between 9 and 5, on the phone, when reception isn't already three-deep. The leak is everywhere else, and it's biggest exactly when high-value patients are looking.

Evenings and weekends

Invisalign, implants and whitening get researched after work. An enquiry at 8pm answered at 9am the next day has usually already booked a consultation somewhere else.

The engaged-tone hours

Reception is checking someone in, the phone rings out, and there's no message trail to rescue it. That call was possibly a £3,000 treatment plan; the ring-out cost nothing to fix.

The overdue book

Hundreds of patients overdue an exam or hygiene visit, plans that stopped halfway - revenue sitting in the practice management system, waiting for a recall nobody has time to send.

What it handles

The front desk work, minus the front desk hours.

Trained on your practice: your treatments, fees, insurers, opening hours and booking rules. It answers only from what you approve.

01

New patient enquiries

Fees, availability, "do you take Denplan", nervous-patient questions - answered in seconds, in your tone, with the next sensible question asked.

02

Booking, email first

Real slots offered in the chat, email collected before anything is confirmed, reminders sent to protect the diary from no-shows.

03

Treatment interest, qualified

Implant and Invisalign enquiries asked the right questions - timeline, expectations, budget comfort - so your treatment coordinator inherits a warm, informed conversation.

04

Safe triage, always

It never gives clinical advice. Pain, swelling, bleeding or anything urgent is signposted properly and flagged to your team the same moment - with the full conversation attached.

05

Recalls and reviews

Overdue exams politely re-invited through recall campaigns, and happy patients asked for a Google review at the right moment via the Review Engine.

Patients have already changed how they book.

80% of patients want to schedule appointments any time, from home or their phone - and the evidence on speed is blunt: enquiries contacted within a minute convert up to 391% better, and answering within the hour makes qualifying the enquiry about seven times more likely.

A practice that answers at 8pm isn't being flashy. It's meeting patients where they already are.

Pricing

Starting points.

Published prices are starting points for a typical single-site practice; multi-site and high-volume systems are scoped individually with an itemised quote. One or two extra booked patients a month can cover the cost several times over - anchor it to your own treatment values.

Questions

What principals and practice managers ask.

Will it give dental advice?
No, and that's a hard rule, not a setting. It answers practice questions - fees, availability, what an appointment involves - and signposts anything clinical to your team or, when urgent, to the right emergency route. Pain, swelling and bleeding are flagged to your team the same moment they appear.
Does it work with our practice management system?
It books into your calendar and works alongside the systems you already run; deeper integrations are scoped on the call. The aim is fewer tabs for your front desk, not more.
What about patient confidentiality and GDPR?
Your practice stays the data controller; Pikul and the configured platform act as processors under a written DPA. Conversations are stored securely, sensitive cases route to humans, and everything is returned or deleted if we part ways. The security page covers the detail.
Our reception team is excellent. Why add this?
Because they're excellent 40 hours a week, and enquiries arrive across all 168. This covers the other 128 on every message channel - evenings, weekends, the WhatsApp that lands mid-surgery - and hands your team warm, qualified conversations each morning. Add Missed-Call Rescue or the Full Front Desk and the phone side is covered too.
How fast can we go live?
A working receptionist can be answering in days: a focused discovery on your treatments, fees and booking rules, then testing until it sounds like your practice. You sign everything off before a single patient sees it.
